TITLE: Administrative Assistant
JOB OBJECTIVES: Under the administration of the Fire Chief the Administrative Assistant is responsible for managing and coordinating clerical support services, secretarial, and administrative functions, handling confidential and time-sensitive materials and acting as contact with other government agencies.
ESSENTIAL JOB FUNCTIONS:

Ravenna Fire Department Records front desk and reception.
Direct and supervise office procedures, deal with inquiries via phone, email, front counter, and general correspondence
Maintain files, both computer, and hard copies.
Produce correspondence to other departments within the City on behalf of the Fire Chief
Carry out responsibilities per City policies and applicable laws.
Maintain and process all incoming department bills, purchase orders, and invoices.
Perform related duties and special projects as assigned.
Keep the current area of responsibility by attending training, skill development seminars, conferences, and agency meetings as assigned.
Demonstrate regular and predictable attendance.
Assist other City departments as needed.
Maintain the administrative offices, office supplies and ensure equipment is in good working order. Monitor office and equipment maintenance problems.
Perform related functions as directed by the Fire Chief

Performing Billing Audits

Familiarity with medical procedures regarding deciphering EMS reports and ensuring that medical insurance was billed appropriately
Familiarity with ICD 10 coding as it pertains to EMS documentation and billing
Interpreting local ordinances and ensuring that billing is being carried out according to their standards
Carrying out notification and correction of errors discovered as they pertain to the billing process

Quality Assurance with preparation of NFIRS and EMSIRS Reporting

Familiarity with both reporting processes & requirements
Correcting errors in both reports to ensure proper data upload

Records Requests

Familiarity with Sunshine Laws in the state of Ohio with regards to public records requests
Familiarity with HIPAA Laws regarding medical records requests and discerning which security protocols are applicable

JOB REQUIREMENTS
Equipment: Ability to operate a variety of office equipment such as a computer, printer, fax machine, copier, scanner, adding machine, and calculator
Critical Skills/Expertise:

Knowledge of computers and related equipment and software packages with proficiency in City software, Word, Excel, and the internet
Maintain proper accounting practice
Ability to understand and research City Ordinances for information as required, including established laws, regulations, and procedures
Ability to appropriately handle confidential information
Ability to communicate effectively, both orally and in writing with an ability to interact effectively and courteously with a variety of people both in-person and over the phone, occasionally under difficult circumstance
Knowledge of general office procedures
Ability to plan, organize and implement
Ability to proofread technical material, recognize errors and make corrections

Job Standards: High School diploma or G.E.D., along with a minimum of three (3) years experience in a business or office administration setting, preferably in a public agency. Must possess a valid Ohio driver’s license and maintain continuing eligibility under the existing County driver eligibility standards.
PERSONAL WORK RELATIONSHIPS
The Administrative Assistant has contact with employees within the Ravenna Fire Department and the City, private sector employees, and the public. The purpose of these contacts is to coordinate departmental efforts internally, obtain and provide information regarding permits and projects and ensure compliance with policies, procedures, laws, and regulations, and do so in a professional manner. Communication is to plan, coordinate, or advise on work efforts or to resolve operating problems by influencing or motivating individuals or groups in situations relative to basic services or goals.
PHYSICAL EFFORT AND WORK ENVIRONMENT
Physical Requirements: Work is identified as light work, requiring the lifting of up to twenty-five (25) pounds occasionally. The ability to work with very large construction plans daily.
Physical Activity: Will needto be able to perform the following physical activities: stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, grasping, feeling, talking, hearing, and repetitive motions.
Visual Activity: Performs work where the seeing job is close to the eyes.
Job Location: Works indoors in an office setting.
Job Type: Full-time
Pay: $40,248.00 – $51,272.00 per year
